1. POSITION(S) VACANT: Documentation Officer, The Humsafar Trust, Mumbai

2. BACKGROUND: Founded in April 1994, The Humsafar Trust (HST) is India’s first community-based organization (CBO) of self-identified homosexual men, MSM, Hijras and LBT persons. The HIV interventions of HST are supported by National AIDS Control Organization (NACO) and Mumbai District AIDS Control Society (MDACS) to provide health services to Men who have sex with men (MSM) and Transgender communities every year through Public Health Care delivery systems and its In-house clinics. HST organizes advocacy workshops for health care provides, law enforcement agencies, judiciary, legislators, politicians and political parties, Government bodies, media, student community to sensitize them on Gay, MSM and TG issues. HST also provides legal support, crisis management, mental health, and nutrition counselling to its communities.

The Humsafar Trust’s advocacy unit works on multiple levels simultaneously. While also engaging with the LGBTQ+ community, the unit works closely with key stakeholders in the rights agenda for instance lawyers, doctors, educators, police, corporate companies, politicians, parents, and families. Sensitization and mainstreaming of LGBTQ+ issues is the main aim of the unit. 


Under the supervision of the Asst. Advocacy Director, the Documentation Officer is responsible for developing social media strategies and helping with documenting the TRANScend 2.0 project on completion. The Documentation officer will also develop strategies to promote activities of TRANScend 2.0 project which supports transgender community, work closely to achieve the goal related to Advocacy, Capacity building and documenting the journey. 

Job responsibilities: 

Internal Communications – 

  1. Project Support- Support the project teams to plan and execute project completion, media interactions, and social media broadcasting.
  2. HST Internal events – Management of HST events for members and the community. Managing the development of PR materials and pre and post engagement on social media and for internal WhatsApp groups. This includes Organization, Project, and management related PR.
  3. Training – facilitate training in any area of interest that will be of use to the internal development of the organization.

External Communications – 

  1. The Organization – Managing the documentation activities as per the project. This includes devising/following communications strategies, creating content, managing social media, working with vendors, and organizing events.
  2. Purpose driven Communications – Keeping the core work in mind to devise planning for creating a smooth process of documentation on closing of project. 
  3. HST social media – managing the social media accounts and maintaining a calendar. Goals to increase the following and create content that increases reach. Working with influencers from the organizations in the form of collaborations and general compelling content. 
  4. HST Press Engagements – Write, edit, and distribute content, including publications, press releases, website content, annual reports, speeches/quotes, and other marketing material that communicates the organization’s activities (use mediums like MailChimp to generate newsletters)
  5. HST website management – managing the website and keeping the content and media up to date with support for IT. Managing design and development with the chosen designer. Match the updates on the home page to match social media. 
  6. Collaborations – managing the collaborations and partnerships the organization has with different Corporates, organizations, and CBOs.
  7. Support – Support the relationship development and linkage with identified stakeholders such as donors, partners, CBOs, media contacts, government offices, etc.
  8. HST Workshops/Events – work with various teams (internal and external) and manage the workshops/events effectively and work on its media plans to gain the reach expected. 
  9. Training – facilitate training in sensitization of the community and society. 
  10. Archiving – to archive/digitize and organize material that has been produced by the organization. To work on maintaining a record of the Oral History of the organization. 
  11. Representing the Organization – to represent HST on panels and to be able to specialize on topics of relevance to the organization. 

Qualification and Experience:

  • Knowledge of, and participation in different social media platforms
  • Proven writing/ journalistic and proofreading skills
  • Experience in managing content development and publishing.
  • Familiarity with online moderating or as an online moderator
  • Excellent computer skills
  • An understanding about HIV/AIDS and other public health issues in India.  
  • Excellent verbal communication and written skills.
  • Creativity and enthusiasm
  • Experience of supporting a variety of communication activities, including websites and other Internet-based communications.
  • Proficiency in design and publishing software will be an added advantage.
  • Ability to contribute individually, and lead, manage or participate in cross-functional teams.
  • Minimum of 2 years of experience in PR/Digital media with Journalism/Mass Media Communications stream with a flair of Social Media communications and excellent writing skills are also encouraged to apply for the role.



It is a full-time contractual position. The time involvement of Documentation Officer is 100% percent. The Communication Officer will be reporting to the Communication Manager of the organization. 

6. CONTRACT: Fixed short-term contract for 2 months and will be renewed based on funding availability and project requirement. 

7. LOCATION: Mumbai, Maharashtra


We are an equally paid employer. Compensation offered is at par with the market rate. The following factors will be considered while finalizing salary:
