BACKGROUND AND OBJECTIVE: 

The Humsafar Trust (HST), a community-based organization since 1994, focuses on the health and inclusion of LGBTQ+ individuals, including HIV prevention and mental health programs. A key aspect of our work is creating inclusive and safer educational spaces. 

To enhance our advocacy efforts, we plan to develop a short video, either a Video Roundtable Podcast or a Fictional Short Film, on the theme of Inclusion in Academic Spaces. This video will feature LGBTQ+ community members alongside professors, teachers, and counselors from schools and colleges. The discussions and/or storyline will aim to foster safer educational environments. Our goal is to disseminate information effectively while presenting it in an engaging and contemporary manner to capture the audience's attention. 

THE OBJECTIVE OF THE ACTIVITY: 

In India, information and educational content on LGBTQ+ inclusion in schools and related spaces are scarce due to limited research and data. This gap leads to significant issues for the younger generation, who often face bullying, mental health challenges, and barriers to education. While resources addressing school bullying exist, they rarely focus on LGBTQ+ students and the specific problems they encounter. 

Education typically begins in playgroups and progresses to schools, where students form friendships and find mentors in educators. These relationships are vital for creating a safe environment and fostering social and mental development. However, LGBTQ+ youth often struggle to connect with peers and teachers, facing social exclusion, bullying, and a lack of support. This can impede their academic progress and, in some cases, lead to dropping out, causing them to fall behind. 

To address these issues, fostering inclusivity in educational spaces is essential. The Humsafar Trust has been actively working towards this goal through offline sessions in various schools across India. Their latest project aims to create a compelling video podcast or film to promote understanding, acceptance, and support within educational environments. By sharing authentic stories, the initiative seeks to build a more inclusive atmosphere for students, educators, and communities. 

PROPOSED WORK: 

Producing resource material in the form of a Video Roundtable Podcast OR Fictional Short Film on the theme of Inclusion in Educational Spaces, that will be used for educational purposes.

OBJECTIVES: 

The primary goal of this project is to create a compelling video podcast or film that fosters a more inclusive environment in educational spaces, with educators’ authority figures and peers. By sharing authentic stories, we aim to promote understanding, acceptance, and support within families and communities.   

 

THE SCOPE OF WORK FOR THE CONSULTANT WOULD BE AS FOLLOWS: 

  1. Concept Development & Scriptwriting  
  • The consultant will develop a concept and script (or conversation flow) for the Video Podcast or Short Film on the identified theme and will be responsible for its execution. This should be original and not directly derived from any popular content or copyrighted material.  

  1. Pre-Production Planning  

  • The consultant will outline a detailed plan for pre-production activities, including but not limited to casting, location scouting, script development, and logistical arrangements.  

  1. Production Execution 

  • The consultant will execute the filming phase according to the approved plan, ensuring sensitivity, respect, and authenticity in capturing the stories of LGBTQ+ individuals and their experiences.  

  1. Deliverables  

  • The consultant will be responsible for the implementation and production of pieces of work on the agreed-upon theme.  

  • The consultant will provide a press kit inclusive of promotional materials such as the director’s bio, film stills, poster, and short promo.  

  • The consultant is expected to work on English subtitles for the podcast/ film and share the final product in two versions: with subtitles and without subtitles with The Humsafar Trust.  

  • The consultant will submit 2 versions of the video: a mixed track version and an unmixed track version.  

  • In the case of a Video Podcast, the consultant will also be responsible for converting the same into an audio podcast and small reels of the highlights.

  1. Reporting & Approval  

  • The consultant is expected to provide regular updates and seek final approval on all creative choices as part of the project.  

  • The consultant will be responsible for submitting the final product(s) within specified deadlines.  

  1. Acknowledgment & Ownership  

  • The consultant is expected to acknowledge the support of The Humsafar Trust and CSR Support by BMC Software India Pvt. Ltd. in their work.  

  • All the produced materials will be under the ownership and purview of The Humsafar Trust, and the consultant shall not share/publish them with any third parties.  

  • The final creative call rests with The Humsafar Trust.  

 

SELECTION CRITERIA: 

  • Applicants are required to submit a Technical Proposal, which includes a value statement, concept note, timeline of implementation and financial break-up.    

  • Preference will be given to those who have experience in working on sexual orientation gender identity, and human rights issues.   

  • Working experience in the field of media creation and with LGBTQ+ will be an advantage.   

  • Sound knowledge of LGBTQ+ and their challenges will be considered as an asset.  

  • Applicants have to submit (their and the teams) Curriculum Vitae (CV) and present and permanent contact address. 

 

BUDGET: 

The consultant will receive a fixed amount of Rs. 3,00,000 (Rupees Three Lakh Only), inclusive of taxes. provided after the successful completion of the selection process. This budget should encompass all potential and significant costs associated with the project, including but not limited to:

  • Cinematographer fees 

  • Sound engineer fees 

  • Lighting technician fees 

  • Makeup artist fees 

  • Costume designer fees 

  • Production assistant fees 

  1. Travel and Per Diem: 

  • Local Travel costs  

  • Per diem for meals  

  1. Post-Production: 

  • Video editing fees 

  • Sound editing and mixing fees 

  • Visual effects (VFX) costs 

  • Subtitling or captioning costs 

  1. Legal and Contracts: 

  • Contracts and licensing fees 

  • Copywriting fees 

  1. Miscellaneous: 

  • Buffer for unforeseen expenses or changes in project scope 

  • Taxes and other government fees 

  1. And any other pre and post-production costs unless committed otherwise. 

Following the analysis, we anticipate engaging in a follow-up discussion with shortlisted consultants/ agencies to address any queries and collaboratively arrive at a final budget. This discussion aims to ensure that the proposed budget not only meets our requirements but also aligns with the consultant's/agencies’ scope of work.  

The discussed amount will be paid in 3 installments:  

  • 30% in the first month of the project. 

  • 30% at the submission of the first draft of the work. 

  • 40% upon successful completion of the video. 

After the project, the videos will be disseminated by The Humsafar Trust, according to our requirements. 

EVALUATION OF THE TECHNICAL PROPOSAL: 

  • One-page value statement indicating the suitability to carry out the assignment. (20 points)   

  • A detailed proposal, complete with a concept note and timeline of implementation. (30 points)   

  • A Financial budget break up. (10 points)   

  • Last 1-2 years and ongoing assignment/project details with results that are relevant/semi relevant to the proposed assignment. (20 points)   

  • Detailed CV/Profile of the consultant/individual along with References of clients with projects concluded in a similar capacity. The applicant must mention their Name, Postal Address, Email Adress and Telephone Number. (20 points)

Upon receipt of the applications, our designated representative will conduct a comprehensive analysis to ensure alignment with our expectations and project scope. Only the shortlisted consultants will be contacted further for next steps.

  • Video Podcast or Short Film accompanied by an original non-copyrighted score, available in both subtitled and non-subtitled versions. (audio podcast version in case of Podcast)  

  • Video Podcast OR Short Film accompanied by an original non-copyrighted score, available in both mixed and unmixed tracks.
