About the Organization:
Founded in April 1994, The Humsafar Trust (HST) is India’s first community-based organization (CBO) of self-identified homosexual men, MSM, Hijras, and LBT persons. The HIV interventions of HST are supported by the National AIDS Control Organization (NACO) and the Mumbai District AIDS Control Society (MDACS) to provide health services to Men who have sex with men (MSM) and Transgender communities every year through Public Health Care delivery systems and its in-house clinics. HST also provides legal support, crisis management, mental health, and nutrition counselling to its communities.

Job Responsibilities:
The Sr. Officer – Admin & HR will support the complete employee lifecycle process of the project.
Key Responsibilities:
Office Administration:
• Maintain office supplies and equipment.
• Ensure smooth functioning of office utilities and infrastructure.
• Oversee cleanliness, maintenance, and security.
Records Management:
• Maintain physical and digital filing systems.
• Track and archive official correspondence, contracts, and reports.
Procurement & Inventory:
• Manage procurement of office supplies and services.
• Maintain inventory records and handle asset management.
HR Functions:
• Undertake the recruitment process starting from shortlisting CVs, conducting interviews, and follow-up with reference checks until the offer is rolled out.
• Maintain employee records as per policy.
• Compile timesheets and manage leave records.
• Generate staff codes and update HRMS on joining and resignation of staff/consultants.
• Prepare consultancy contracts by following the procurement process for the selection of consultants.
• Handle annual appraisals.
Vendor and Contract Management:
• Liaise with vendors, service providers, and contractors.
• Draft and maintain service agreements and track contract renewals.
Meeting and Event Coordination:
• Organize internal and external meetings, trainings, or workshops.
• Handle venue booking, materials, catering, and logistics.
• Coordinate travel bookings, accommodations, and logistics for staff or visitors.
Finance & Documentation Support:
• Support documentation for payments, invoices, and reimbursements.
Qualification, Experience, and Competencies:
• Bachelor’s or Master’s degree in Human Resources.
• Minimum of 2–3 years of experience in administrative functions.
• Excellent management, public speaking, writing, and verbal communication skills.
• Ability to work effectively in teams as well as independently.
• Strong ethics, reliability, and organizational and time management abilities.
